How to schedule an email for a future date/time

Follow the steps below to schedule an email to go out in the future at a time that you designate!

1. Hover over the Recruits tab

2. Click Recruit List

3. Search for Recruits you would like to send an email to by using View Recruit Search Options or a Saved Search

4. Check the checkboxes to the left of the recruits you would like to send an email 

5. Click the Send Email function button

6. Select Yes to use your default Personal Template

  • Selecting No will allow you to use a different template or previously sent email

7. Fill out required fields for Primary Recipients, From and Subject

8. Check the checkbox for Send At Future Time:

9. Enter the Date and Time that you would like the email to be sent

  • Note: Times are available in five-minute increments 

10. Create and Edit the email as you would like it to be sent

11. Click Next to preview your message 

12. Preview your completed email and click Edit to make any necessary changes 

13. Click Send to send your completed email

14. Click OK on pop-up window asking "Are you sure you want to send this message?"

15. Click Finish to return to the Correspondence Tools page

 

Follow the steps below to review and cancel a scheduled email:

1. Hover over the Recruits tab

2. Click on Correspondence Tools

3. Under Sent Emails you will notice the Status of each scheduled email listed as the Date/Time the email will be sent

  • Note: Emails that are sent immediately will have a status of Sending

4. Click on the email Subject to review your scheduled email 

5. Click Cancel to the right of the Date/Time to cancel your scheduled email

  • Note: Emails that are sent immediately cannot be Cancelled 

 

Additional Details:

1. Is the Date/Time that I select my time zone or the prospect's time zone?

  • The time zone is based on where your school is located
  • For example, if your school is in the Central time zone and you schedule an email for September 1 at 12:00 a.m. , the email will be sent out at 12:00 a.m. Central time.  If you selected a prospect that lives in the Pacific time zone to receive the email, the prospect would get the email August 31 at 10:00 p.m.

2. If I schedule an email to be sent at 9:00 AM, does the prospect receive the email exactly at 9:00 AM?

  • No. The Date/Time that you schedule is when the email is sent from the ACS system. Based on the prospect's email provider, there can be up to a ten-minute difference from the time the email is sent to when the prospect actually receives the email. Typically, the prospect receives the email within a minute or two of the system sending the email.
